Preparing Your Manuscript - (Publish under AIP Conference Proceedings)

AIP Conference Proceedings uses author-prepared PDFs for all published content and will not send out author proofs prior to publication. Therefore, it is important to ensure that all manuscripts are submitted in their final form and that all fonts are embedded. AIP author template packages contain comprehensive advice and guidelines for authors—including a DO’s and Don’ts checklist—all papers must be prepared abiding by these guidelines. Well-prepared manuscripts enable rapid publication and reduce unnecessary work for editors. When preparing your manuscript for AIP Conference Proceedings, please abide by the following requests:
  • Download your template package for Word or LaTex.
  • Do not add page numbers or headers/footers.
  • Do not alter the margins of our templates.
  • Paper size is 8.5 x 11.
  • The paper must include the author name and full affiliation address including country.
  • Use clear, legible graphics and diagrams contained within the margins.
  • Do not use copyrighted material without permission and proper crediting.
  • All pages are to be in portrait.
  • References are prepared using our sample reference guidelines (available in the template package). References can only be linked if they are complete.
  • Embed all fonts into your manuscript PDF.

What to send to your conference organizer

  • A final PDF file of your paper with fonts embedded.
  • A signed License to Publish Agreement.
  • Copies of permissions to re-use copyrighted material.

Standard 8.5 x 11 templates

The following templates are AIP Publishing standard, and you must use them for all AIP Conference Proceedings volumes:

For LaTeX users AIP Publishing has made a formatted template available in Overleaf. For best results and full support, we recommend that you use the AIP Conference Proceedings template in Overleaf. Authors may download either the PDF template or a .zip file containing the template.

Peer Review Process

All submitted full papers will be peer reviewed. The acceptance will be granted if the recommendations from the reviewers are positive. The criteria are based on the technical contents, clarity and format. Authors should make sure the submitted papers use the template for this conference. There are three review processes: Initial Review, Peer Review and Recommendation.

Initial Review

The track director evaluates each manuscript in the submission track to determine if its topic and content is suitable for consideration for the colloquium before before being reviewed. Manuscripts that do not meet minimum criteria are returned to the authors. This is in the best interest of the authors who could then decide to either correct the problems or to submit the manuscript to a more appropriate venue, avoiding delays from a lengthy review process that would nonetheless lead to rejection.

Peer Review

Manuscripts that pass the initial review by the Track Directors, will be sent to several referees based on their expertise. Each manuscript is reviewed by at least two referees. The referees are asked to evaluate the manuscript based on its originality, soundness of methodology, impact to design research, and relevance to design practices. To facilitate timely publication, referees are asked to complete their reviews and provide individual critiques within two weeks. After collecting the referees' reports, the Track Director makes a recommendation on the acceptability of the manuscript.

Acceptance Decision

Based on the referees' comments, the Track Director makes a final decision on the acceptability of the manuscript and communicates to the authors the decision, along with referees' reports. The status reports to reviewers should identify the reviewers of each paper, the final decision can be "Accept Submission", "Revisions Required", or "Decline Submission." The revised version should be submitted considering the review comments.

Plagiarism

The authors should make sure that the manuscript pass a criterion of maximum 30 percents similarities to other publications.
